QR Menu with Cash Register: The Right Setup for Counter-Service Cafés and Bakeries

✦ October 12, 2026✦ 5 min read✦ Author: Aris Stogiannos

Eight people in the queue, one person on the till, and a laminated menu nobody can read from the back of the line. That is the counter-service problem, and it does not need a full ordering system to fix it. A QR menu with a cash register lets guests read the menu on their phone while they wait, and gives you one device that takes the card and issues the myDATA receipt. For a small café, bakery or kiosk where orders are spoken at the counter, that is usually the whole answer. In Scanby it is Scanby Menu plus Scanby Pay: €30.98/mo, or €24.98/mo billed annually.

The register half matters more this autumn than the menu half. On 5 October 2026, Ergasiodromio reported that AADE is running nationwide on-site and digital inspections of food-service businesses, cross-checking card payments against issued receipts in real time.

Fines for a POS not linked to the cash register reach €10,000 for single-entry books and €20,000 for double-entry books, with closures of 48 hours to 10 days. Cafés and bars are named explicitly.

Who a QR menu with cash register is for

This setup is deliberately small. It skips the parts of a restaurant system a counter venue never uses.

  1. Choose it if guests order out loud at the counter

Coffee shop, bakery, crêperie, souvlaki counter, school or beach kiosk. The guest decides from the QR menu, says it, pays, and leaves.

  2. Choose it if the queue is short and the kitchen is one person away

If the barista can hear the order, a printed ticket adds nothing.

  3. Choose something else if you serve at tables

Once staff walk orders to a kitchen or bar, you want digital order tickets. That is Menu + Waitor + Pay at €35.97/mo, and it lets you add guest QR ordering later at no extra cost.

  4. Choose something else if you only need the menu

If a linked register already works for you, Scanby Menu alone is €10.99/mo.

What each half actually does

The menu: Scanby Menu

Upload a photo or PDF of your current menu and the AI import builds the catalog; you review it before publishing. Translation covers up to 5 target languages plus your source, every string editable by hand, which matters when half the queue is tourists. A sold-out flag stops the "sorry, no more bougatsa" conversation, and the public menu is a real indexable URL you can set as the menu link on your Google Business Profile.

The register: Scanby Pay

Scanby Pay is a payments-only POS and cloud fiscal register powered by Viva. Charging works like a cash register, with quick amounts such as 2.50×2 plus discounts and quantities, or from an optional product catalog. It takes Visa, Mastercard, Apple Pay, Google Pay, IRIS and cash, on a Viva mobile POS on Android or a Viva terminal. Receipts go to AADE automatically, by print, email or SMS, and there is no daily Z report. Each payment in the history shows its Viva transaction id and its linked receipt.

How much does a QR menu with cash register cost?

€30.98per month for Menu + Pay
€24.98per month billed annually
€3.99what Menu costs once paired with another module
14 daysfree trial, no credit card

The arithmetic is simple: Scanby Pay is €26.99/mo, and the menu drops from €10.99 to €3.99 when it rides along. There is no separate register hardware: an Android phone can run the Viva mobile POS. A classic POS with its own register usually starts above €100/mo before you buy the equipment.

What this setup does not include

Be clear-eyed before you buy. Menu + Pay has no digital order tickets, no live order board, no kitchen printing of orders and no guest self-ordering. Guests read; staff charge. If you find yourself writing orders on paper for the back, you have outgrown it, and the move is Menu + Waitor + Pay, not a second tool bolted on.

A counter venue does not need a restaurant system. It needs a readable menu and a register that never forgets a receipt.

A five-minute check before an inspector buys a coffee

  1. Open the POS registry in myAADE

Every terminal you hold, including a Soft POS on a phone, should appear there with its link status.

  2. Make the receipt part of the charge

The risk the inspections target is a card payment with no matching receipt. Issue both in one step.

  3. Accept cards and IRIS

Both are expected at the counter, and both are supported in Scanby Pay.

  4. Send your accountant the month in one go

Scanby's three-step export wizard emails a spreadsheet plus PDFs, and can send a packet automatically every month.

If you switch registers, confirm the new terminal's registration with your accountant before the old one goes in a drawer.
