Staff Ordering System With Payments: One Phone From Order to Receipt
A staff ordering system with payments means the waiter who takes the order on a phone is the same person, on the same device, who splits the bill, takes the card and issues the receipt. No guest QR, no separate till, no second terminal that has to be matched up at closing. For a traditional table-service venue in Greece, that is now the safest setup you can run—because the tax authority is checking exactly the gap between order, payment and receipt.
On 8 September 2026, ergasiodromio.gr reported a nationwide AADE sweep of restaurants, tavernas, cafés and bars. Inspectors check in real time whether every card payment matches an issued retail receipt, and they cross-check order slips against the final receipts. Fail to issue more than 10 receipts, or more than €500 worth, and the venue faces an immediate 48-hour closure. The pressure is structural: by early September 2026, 489,370 tills and POS terminals were linked to AADE, according to ProtoThema English.
AADE inspectors now cross-check order slips against issued receipts, and check that every card payment has a matching retail receipt. The receipt must be handed over at serving or when the transaction completes.

Most venues that get into trouble are not hiding sales. They run three disconnected things: a notepad or ordering app, a bank card terminal, and a cash register. At 22:30 on a full Saturday, a table pays €86 by card, the waiter means to ring the receipt later, and later never comes. On paper that is a card payment without a receipt—the exact pattern inspectors look for.
When order taking and charging live in one system, the receipt is not a separate step someone can forget. The order exists digitally, the bill is built from it, and the document is issued at the moment of payment.
One table, start to finish: how a staff ordering system with payments works
Here is a four-top on a terrace, run on Scanby Waitor + Scanby Pay.
- Order on the waiter’s phone
The waiter opens the Create order wizard, picks the table, adds items with sizes and extras, and types a kitchen note (“no onion, seat 2”). Any phone, tablet, PDA or laptop works.
- Kitchen gets it instantly
The order lands on the live order board (Orders view and Tables view). If you want paper, a ticket prints through Scanby Print on a kitchen computer or a network printer connected from the Android app.
- The bill splits three ways
Bill splitting works equally, by items or in custom amounts. Two guests pay by card on a Viva mobile POS or Viva terminal, one pays cash.
- Three receipts, no Z report
Each part gets its own receipt from the cloud fiscal register, submitted to AADE automatically. There is no daily Z report to run, and the month-end packet goes to your accountant by email.
The question an inspector asks is simple: does every order and every card payment have a receipt? Answer it with your setup, not with your staff’s memory.
How much does it cost?
Scanby Waitor is €18.99/mo on its own; Scanby Pay adds €12.99/mo when combined with it. Payments accepted: Visa, Mastercard, Apple Pay, Google Pay, IRIS and cash. The only hardware you might add is an order printer.
What this setup does not include
Be clear on the limits before you buy. Waitor + Pay has no guest-facing QR menu and no guest self-ordering—by design. If you want tourists to browse a translated menu on their phones, add Scanby Menu: Menu + Waitor + Pay is €35.97/mo, the same price as the all-in-one (Order + Pay), which also lets guests order from the table QR.
One more honest note: offline mode keeps staff creating, editing and cancelling orders when the Wi-Fi drops, and they sync automatically on reconnect. Payments and receipts still need a connection, so a mobile data backup on the payment device is worth it.
Choose this if… choose something else if…
Choose Waitor + Pay if your staff take every order at the table, you take cards, and you want one device from order to signed receipt.
Choose Menu + Pay if you are a counter café or bakery where orders are spoken and there is no table service to route.
Choose the all-in-one if guests should also read and order from a QR at the table.
Keep your classic POS if you run fixed terminals on a contract you are happy with and your POS is already linked to the till. Do not switch for the sake of it.
Whatever you choose, confirm your POS–register linkage and document types with your accountant. Software makes compliance the default; it does not replace professional advice.
