All-in-One Restaurant Ordering and Payment System: Why the Receipt Must Follow the Card

✦ October 26, 2026✦ 4 min read✦ Author: Aris Stogiannos

Saturday, 22:10. Table 9 pays by card, the waiter taps the terminal, and the receipt gets printed "in a minute" from the till by the bar. That minute is now the expensive part. If you are looking for an all-in-one restaurant ordering and payment system, the short answer is this: pick one where the order, the card payment and the myDATA receipt live in the same record, so nobody has to match them by hand. In Scanby that is Order + Pay, €35.97/mo (€28.97/mo billed annually): guest QR ordering, staff ordering, card payments and automatic AADE receipts in one place.

Why now? In early October 2026 AADE, the Greek tax authority, started sweeping checks on food-service businesses to confirm that every card terminal is linked to the cash register.

€20,000fine for an unlinked POS, double-entry books
€10,000same breach, single-entry books
48h-10dpossible closure on top of the fine

AADE cross-checks myDATA submissions against payment-provider settlements in real time and flags card payments with no matching receipt. Inspectors may also visit as customers to test the link.

This is not legal advice, and your accountant has the final word on your setup. The practical lesson is simple, though: the gap between "card charged" and "receipt issued" is exactly what is being checked.

What an all-in-one ordering and payment system should cover

  1. Every way an order arrives

Guest QR at the table, a waiter's phone, and the counter. If one of the three lives in another tool, you are back to retyping.

  2. The kitchen sees it instantly

A live order board, a new-order sound, and printed tickets if your cooks want paper.

  3. The bill knows the order

Splitting a table should start from what was ordered, not from a calculator.

  4. Payment and receipt together

Card, IRIS or cash, and the fiscal receipt issued and sent to AADE without a second step.

  5. Month end without the shoebox

Your accountant gets the period's documents without you collecting PDFs.

One table, start to finish, on Scanby Order + Pay

Four tourists sit down on the terrace and scan the table QR. The menu opens in the browser in their language, no app. They order two dishes themselves, then call the waiter for wine, who adds it from a phone. Location protection means the order is accepted only if the phone is still near the QR it scanned, so a photographed code cannot send orders from the street.

The kitchen gets both orders on the live order board, or as a ticket through Scanby Print. At the end the table wants to split. The waiter splits the order by items: two guests pay on the Viva terminal, one pays by QR on their own phone, one pays cash. Each part gets its own receipt, submitted to AADE automatically, with no daily Z report. In the payments history every payment shows its status, its Viva transaction id and the receipt linked to it.

At the end of the month the three-step export wizard emails your accountant a spreadsheet plus the PDFs, and it can do that automatically every month.

The cheapest compliance tool is one where the receipt cannot drift away from the payment.

All-in-one or separate tools?

Choose Order + Pay (€35.97/mo) if guests order by QR, staff also take orders, and you take cards at the table. That is the full flow.

Choose Waitor + Pay (€31.98/mo) if you want no guest-facing QR at all, just staff ordering that also charges.

Choose Scanby Pay alone (€26.99/mo) if you do not need digital ordering and just want a cloud register with card payments. Added to Waitor or Order, Pay costs €12.99/mo instead.

Keep your classic POS if you rely on deep stock control or integrations Scanby does not offer, or your venue has no reliable internet. Payments and receipts in a cloud system need a connection; staff orders keep working offline and sync later, but charging does not.

Do I need new hardware?

No required hardware. Payments run through Viva, either a mobile POS on an Android phone or a Viva terminal, and a receipt or order printer is optional. Whatever you use, open myAADE's POS registry and check that every terminal you own shows as linked. That five-minute check is worth doing this week.
